Quick checklist

  • Create a review schedule for every active driver.
  • Pull the required MVR or equivalent record where applicable.
  • Review violations and qualification status.
  • Document the review date and reviewer.
  • File the review in the DQ file.

Why this matters

Many DQ files look complete at hiring and then go stale. The annual review is the carrier's chance to confirm that the driver file still supports the driver's qualification.

What to prepare

Area Records to gather
Annual review packet
  • Driver list with review due dates
  • MVR or required record
  • Violation review notes
  • Reviewer signature or approval record
  • Updated medical or license notes if needed
Tracking controls
  • Calendar reminder
  • Escalation owner
  • Former driver archive status
  • Exception notes

Common gaps

  • MVR is saved but no review note exists.
  • The due date is based on calendar year, not the driver's file timeline.
  • Former drivers in the audit period are missing annual records.
  • No one owns the reminder system.

Before / During / After audit

Before

  • Sort active drivers by next review date.
  • Catch up overdue reviews.
  • Record the reviewer and date clearly.

During

  • Provide annual review records inside each DQ file.
  • Keep the tracking sheet available for context.

After

  • Set monthly reminders.
  • Review new driver due dates after onboarding.
  • Archive reviews with former driver files.
