Quick checklist

  • Identify drivers and dates in the audit period.
  • Export logs or records of duty status required under 49 CFR 395.8.
  • Collect supporting documents requested by the auditor.
  • Review unassigned driving, edits, and annotations in the ELD system.
  • Document any exemptions or exceptions you rely on.

Why this matters

HOS records are often spread across the ELD portal, dispatch records, fuel receipts, and driver notes. Under 49 CFR 395.8, the carrier needs a clear way to explain the record set and preserve supporting documents for the required period.

What to prepare

Area Records to gather
Log records
  • Records of duty status
  • ELD exports where applicable
  • Driver certifications
  • Edits and annotations
  • Unassigned driving review notes
Support records
  • Bills of lading
  • Fuel records
  • Dispatch records
  • Toll or scale records where available
  • Exception notes

Common gaps

  • Drivers certify logs late or not at all.
  • Unassigned driving is ignored until the audit.
  • The safety contact cannot generate the required ELD transfer.
  • Short-haul or other exceptions are used without a file note.

Before / During / After audit

Before

  • Run reports for each driver and date range.
  • Review exceptions and annotations.
  • Collect support records by trip or date.

During

  • Use the ELD export process requested by the auditor.
  • Keep support documents close to the related dates.
  • Avoid explaining gaps from memory.

After

  • Set a weekly HOS review cadence.
  • Train drivers on annotations and certifications.
  • Document recurring corrections.
